How We Planned Our Coachella Trip: Hotel, Flights, Rental Car, VIP, and Shuttle

People think planning a trip takes the magic out of it. For me it is the opposite. When I have the logistics handled, I am not stressing about parking or where to eat or whether my rental car will even let me pick it up. I get to actually enjoy the moments that matter. So here is the honest, start-to-finish breakdown of how Victoria and I planned our Coachella Weekend 2 trip, the good calls, the mix-ups, and what I would tell a first-timer.
The shape of the trip
We went for Weekend 2 with 3-day VIP passes, flew in Thursday, and flew home Monday, four nights total. Two big reasons for those bookend days: arriving Thursday means you start the festival rested instead of sprinting off a plane, and leaving Monday means no brutal early flight the morning after the last set. Those two calm travel days made the whole trip feel like a vacation, not a scramble.
One habit that keeps a big trip from feeling overwhelming: pay it off in stages. We finished paying for the festival passes first, then moved on to flights and the hotel. Coachella offers an official payment plan for exactly this reason, and it makes a big number feel manageable.
Choosing the hotel (and why the one we wanted was gone)
This was the biggest decision. I started out set on a Marriott because I like collecting Bonvoy points and the cancellation policies are easy. The catch: the Marriotts I actually wanted were completely sold out for Weekend 2 by the time we booked, which tells you how fast the good Coachella hotels go.
So we pivoted, and honestly landed somewhere better for us: Embassy Suites by Hilton Palm Desert, about 25 to 30 minutes from the Empire Polo Club. Here is what won us over:
- It was an official Coachella shuttle stop (this was the deciding factor).
- Spacious two-room suites instead of a cramped standard room for four nights.
- Complimentary made-to-order breakfast every morning, which quietly saves a lot of money.
- An evening reception, a resort-style pool, and hot tubs for the downtime.
- Much more affordable than the hotels right by the venue.
Flights: why we chose LAX over Palm Springs
Palm Springs (PSP) is the closest airport and would have shaved hours off the drive. But when I compared options, LAX had more flights, better pricing, and easier schedules. The tradeoff is a longer drive into the desert, roughly two to three hours. We decided the savings were worth it, and then we leaned into the drive as part of the experience instead of treating it like a chore.
One more travel-day tip that saved my nerves: give yourself an airport buffer. The viral clips about security lines can freak you out, but the real move is just to arrive with time to spare, grab a coffee, and start the trip relaxed instead of panicked at the TSA line.
The rental car lesson I learned the hard way
I originally booked a rental through a budget company because the price was fantastic. Then, while planning, I realized something important: I was going to use a debit card, and a lot of off-airport rental companies either require a major credit card, put a large hold on your account, or have strict debit policies. Rather than land at LAX and discover I could not pick up the car, I canceled the reservation and started comparing companies on total price, deposits, insurance, mileage, and debit-card acceptance.
Here is the takeaway: the cheapest option is not actually the cheapest if it creates stress or falls through. Check the rental company's debit-card policy before you book, not at the counter.
Shuttle or drive?
We planned around the shuttle for good reasons. The horror stories are real: people report one to three hour waits leaving the parking lots, rideshare surge pricing gets wild, and cell service turns unreliable right when everyone is trying to leave after the headliner. An official shuttle from a shuttle-stop hotel avoids all of that.
Our plan did not survive contact with reality (I tell the full, slightly embarrassing story in our arrival day post), and we ended up driving. The thing nobody told me until we were standing at Will Call: general parking is free if you drive. So a shuttle pass is a nice convenience, not a requirement. If you drive, budget for a longer exit and you are set.
Is VIP worth it?
We went VIP for all three days, and yes, for us it was worth it. VIP does not put you front and center at every stage, but over a long weekend it buys something more valuable: comfort. Better bathrooms, more shade, dedicated food vendors, and places to actually sit and recharge. After walking miles in the desert heat, having somewhere to reset between artists made the difference. The goal is not to camp in VIP all day, it is to have a home base inside the chaos.
